Kickoff Meeting: 12.2021 planned, 27.04.2022 performed

Description

The meeting was led by the coordinator. Participants were 3 teachers per country, including the coordinator of each country. It was an online meeting: the links generated were 2 because after 30 minutes the time expired.

The purpose of the first kick-off meeting was to: 

  • introduce the partners and break the ice, in order to build a cohesive working group,
  • have a clear understanding of the project, identify its objectives and expected results, and the underlying motivations
  • clarify partners’ roles and responsibilities
  • discuss timelines, activities and deadlines of the project in order to achieve its objectives,
  • agree on management procedures, e.g. budget distribution in LTTA expenses (including travel insurance policies for LTTAs in the case of Covid), project management and project results. Agree on project communication, indicating communication channels and dissemination strategies,
  • set the date and the place of the first mobility.

The main agenda items and outcomes of the meeting: 

  • The partners introduced themselves and described their educational institutions, subjects taught, internal organisations and other ongoing Erasmus projects and their focus. The agenda for presenting the project to staff, students, parents and the school’s surroundings was shared.
  • The coordinator asked whether all partners had a clear idea of the content, objectives, expected results and motivation of the project. Any doubts were shared and the group discussed with positive results. 
  • Each partner school confirmed the internal coordinators already included in the submitted form. The Turkish partner presented a new project coordinator (the previous one was transferred to another school). The roles of the existing coordinators in the project were confirmed and project teams were created in each school, teams for project management, monitoring and evaluation (also organising training on project management). Decisions were made to open the project’s social media accounts (all partners), its webpage (Greece) and its TwinSpace (Turkey).
  • Deadlines: 
    • The first deadline the group considered essential to manage was the creation of the project logo. Mentimeter was identified as the voting tool. The coordinator proposed to manage the process. 
    • The group decided to postpone LTTAs  as Covid was still present (September 2022 was set as the date of the first mobility in Turkey).
    • The second deadline was the creation of the Erasmus Corner in each school.
    • The third deadline was to prepare posters, roll ups, gadgets and banners, following the creation of the logo. 
    • The fourth deadline was to prepare the selection criteria for pupils and teachers participating in future LTTAs.
  • For project management expenditure categories were established (see project management). 
  • For project results, the group agreed to allocate 30 working days out of 60 in the first phase of the project (until April 2023) to pay experts in writing lessons. Only Italy will have 45 working days as it has additional work to introduce the climate guide. The remaining 30 days (15 for Italy) will be requested in the second instalment of the budget and allocated to the translation of the lessons.
    • All coordinators exchanged emails and phone numbers and the coordinator created the project’s WhatsApp group and Google Drive for faster communication.
